1. Who is responsible for your data
Universum International College (UNI), located at Rr. Hasan Prishtina, Konjuh, Lipjan 14000, Kosovo, is responsible for the personal data described in this policy. Questions or requests concerning privacy may be sent to [email protected].
This policy applies to information collected through universum-ks.org, UNI application and enquiry forms, Meta instant forms on Facebook and Instagram, and related admissions communications.
2. Data we collect
The information collected depends on how you interact with UNI. We collect information you provide directly and limited technical or campaign information generated when you use our services.
- Identity and contact details, such as name, email address, telephone number and country code.
- Admissions and study-interest details, such as preferred study level, programme, intake, transfer interest and answers to form questions.
- Application documents and supporting information when you begin or continue an application.
- Lead and campaign information supplied by Meta, including form, Page, ad, ad set and campaign identifiers and the platform from which the enquiry originated.
- Communications with UNI, including messages and follow-up records.
- Technical information such as page URL, referral and campaign parameters, browser or device information, IP-related server logs, cookies and analytics events.
3. Where data comes from
- Directly from you when you complete a UNI website form, submit an application, contact us or communicate with the admissions team.
- From Meta when you submit a UNI instant form on Facebook or Instagram. Meta sends a lead identifier to UNI, and UNI retrieves the form responses through the Meta Graph API.
- From analytics, advertising and security technologies used on UNI websites, subject to applicable settings and consent requirements.
4. Why we use personal data
- To respond to enquiries and provide information about programmes, admissions, tuition, scholarships and application steps.
- To create, review and manage applications and enrolment-related records.
- To send requested confirmations and relevant follow-up communications.
- To identify the campaign or channel that generated an enquiry and evaluate recruitment and advertising performance.
- To operate, secure, troubleshoot and improve UNI websites, forms and information systems.
- To comply with legal, regulatory, accreditation, audit and institutional obligations.
5. Legal bases
Depending on the activity, UNI processes personal data with your consent, to take steps you request before entering into an education or enrolment relationship, to perform that relationship, to meet legal obligations, or for legitimate institutional interests that do not override your rights. You may withdraw consent for future consent-based processing at any time.
7. International processing
Some technology providers operate outside Kosovo. Personal data may therefore be processed in other countries. Where required, UNI uses contractual, organisational and technical safeguards appropriate to the transfer and the service involved.
8. How long data is kept
UNI keeps enquiry and application data only for as long as reasonably necessary for admissions follow-up, the education or enrolment relationship, institutional recordkeeping, dispute handling, security and applicable legal or regulatory obligations. Retention is reviewed according to the type of record and its purpose. Data is deleted, anonymised or access-restricted when it is no longer required, unless continued retention is legally necessary.
9. Security
UNI applies administrative, technical and organisational measures intended to protect personal data against unauthorised access, alteration, loss or disclosure. No internet service can guarantee absolute security, but access to admissions systems is restricted and integrations are authenticated and monitored.
10. Your rights
Subject to applicable law, you may request information about processing, access to your data, correction, deletion, restriction, portability, or object to certain processing and direct marketing. You may also withdraw consent without affecting processing that occurred before withdrawal.
Send requests to [email protected]. UNI may request information necessary to verify your identity and locate the relevant records. You may also complain to Kosovo's Information and Privacy Agency if you believe your data-protection rights have been violated.
11. Prospective students under 18
Where a prospective student is under 18, UNI may involve a parent or legal guardian when required by law or appropriate to the admissions process. Please do not provide information about another person unless you are authorised to do so.
12. Policy updates
UNI may update this policy when services, legal requirements or data practices change. The current version and its effective date will be published on this page.
